Search Overview
Search can be used for finding files and folders based in the Repository. Search uses a versatile query language that can be used to create complex expressions. Search queries can be quite specific with support for various advanced features:
- One or more conditions
- Condition groups (i.e. brackets are supported)
- Restricting results to a folder or set of folders
- Restricting result type (e.g. image, folders, files, etc.)
Quick Search
Clicking on a Custom Field value anywhere will trigger a search for all items in the Repository that have a field with the same value that was clicked. The search can then be modified to a different value for the same field from the search page.
Search Preambles
Search queries have preambles that can be used to narrow the search results:
- The results type preamble may be used to narrow the types of items returned
- The location preamble may be used to narrow the folders that are searched
To set the result type preamble
Click on the Search button from the Navigation Menu
Choose one or more types from the Find dropdown
To set the location preamble
Click on the Search button from the Navigation Menu
Click on the icon and choose the set of folders for the search
Click on the X button when done and continue building the search query
Basic Queries
To search for a file or folder in the Repository, start by creating a search query. The search query can reference some of the built-in System Fields as well as any user-defined Custom Fields.
To create a basic search query
Click on the Search button from the Navigation Menu
(Optional) Configure the result type preamble from the Find dropdown
(Optional) Configure the location preamble from the dropdown
(Optional) Configure the logical operator from the Matching dropdown
Click on the + Condition button; repeat as necessary
a. Select a field from the dropdown
b. Select an operation
c. Fill the field accordingly
Click on the Search button to run the query
Search results will be displayed on the same page
Advanced Queries
Advanced search can be fully customized and may include logical groups (i.e. bracketed expressions).
To create an advanced search query
Click on the Search button from the Navigation Menu
(Optional) Configure the result type preamble from the Find dropdown
(Optional) Configure the location preamble from the dropdown
(Optional) Configure the logical operator from the Matching dropdown
Click on the + Condition button; repeat as necessary
a. Select a field from the dropdown
b. Select an operation
c. Fill the field accordingly
(Optional) Click + Condition Group; repeat as necessary
a. Repeat step 5 as necessary
Click on the Search button to run the query
Search results will be displayed on the same page
